conditions relating to this reservation.
We do not
rent to vacationing students or singles under the age of 25 unless accompanied
by an adult guardian or parent.
Fees
Executive Lodging of the Black Hills does not charge hot tub fees, however a
5% booking fee will be added to all rental fees in addition to sales tax which
varies from 5.5-8.5%. Although each
property will be completely equipped for rental purposes, we cannot accept
responsibility for aesthetic conflicts.
Down
payment & Payments
For reservations made more than 60
days prior to your arrival, a down payment equal to a 1 night’s stay plus sales
tax is due and payable to Executive Lodging of the Black Hills at
the time of booking your reservation.
Remainder of the payment is due 60 days prior to your arrival. If booking is made within 60 days of your
arrival the entire payment is due upon booking your reservation.
Once you have provided your credit
card information and are given a confirmation number, your reservation is
guaranteed and subject to all cancellation conditions.
Sturgis down payments are equal to a
one nights stay plus sales tax or $1,000 plus sales tax, whichever is higher.
Final rally payment are due by January 31st preceding
the Sturgis Rally. No refunds are offered in any circumstance once deposit/down
payment is made.
Security
Deposit & Damage
Damage insurance is required at a
cost of $49 ($69 for Trail Ridge) for $1500 accidental
damages. All damages shall be reported
to Executive
Lodging of the Black Hills by guest no later than the last day of
departure, failure to do so may render your damage deposit insurance void. Renter hereby authorizes Executive Lodging of the Black
Hills to charge the credit card
for the cost of repairs, replacement, services, telephone charges or extra
cleaning for all damage, breakage and/or loss incurred during his/her stay. In
the event of damages to the premises, its equipment, furniture, or carpeting,
Renter shall be responsible for damage costs exceeding the security deposit,
including collection costs and attorney’s fees. Documentation detailing damages
and charges will be provided to the guest prior to charges made to your credit
card or debited from your account.
Cancellations&
Refunds
Executive Lodging of the Black Hills does not
offer refunds once payment has been made. Travel insurance is highly
recommended.
Executive Lodging of the Black Hills is not
responsible for events beyond our control, e.g. inclement weather, maintenance
issues. Optional travel insurance may
be purchased at the time of making initial reservation payment. Travel
insurance guarantees that in the event of a medical emergency, family funeral
or weather hindrances (interstate closings), you will receive a refund. Please
ask a reservation specialist for additional information on travel insurance.
Check-In /
Checkout
Upon receipt of your payment, your
Reservation Confirmation will be mailed to you. Check-In is after 4:00 PM MT.
Check-Out
is 10:00 AM MT.
Renter and Renter’s entire party
must vacate the property no later than 10:00 am. Failure to check out on time
could result in a $50/hr late fee if housekeeping is waiting to clean the home.
Express checkout is available for $75 for 4 or more bedrooms and $60 for 3 or
less bedrooms. With express checkout, housekeeping will take care of the
departure requirements including, but not limited to, gathering laundry or
removing garbage. If dishes have to be washed, an additional fee will incur for
dirty dishes.
Garbage
All accumulated
garbage should be set out as instructed on the designated days and at the end
of your stay. For sanitary reasons, ALL garbage needs to be
bagged as there will be a $50 charge for garbage not bagged and not picked up
by garbage service.
Home
Equipment
All homes and condos are privately
owned and equipped for basic vacation needs. Bed linens are available for the
number of guests indicated on the lease. Kitchen utensils and a starter supply of soap and paper
products are made available for all rentals.
Maintenance problems in the home
will be handled in a timely and professional manner. The rental rate will
not be adjusted due to any malfunction of equipment, which includes TV’s,
DVD’s, air condition units, hot water heaters, stoves, refrigerators, door
locks, etc.
Maximum
Occupancy
Each property has a specific maximum
occupancy. Take note of the maximum number of guests allowed in the homes and
condos before making your reservation. This policy is strictly enforced.
Gatherings
Our properties are located in
residential areas and are rented for personal vacation use only. Parties and
other large gatherings are not allowed without prior approval as a fine may
incur. Violators risk forfeiture of their deposit, rental fees, and eviction.
No Smoking
All homes and condos are Non-Smoking! No exceptions! All cigarette
butts shall be disposed of in proper receptacles. Failure to abide will result in Renter paying
for all professional cleaning. Please
help keep our homes safe as this is a major concern and a fire hazard in the Black Hills. Be aware that if you start a forest fire you are financially
responsible. Penalties include huge
fines and jail time!
No burning except in designated campfires
and per the Black Hills National Forest recommendations.
Pet Policy
No pets allowed. If evidence of a pet is found, Renter is
responsible for paying for all professional cleaning.
Cleaning
Renter agrees to maintain the
cleanliness of the premises during the occupancy and to leave the premises
thoroughly clean and in good condition upon departure.
Additional
Provisions
The agent may enter the premises at
any time in the event of emergency, but will use its best efforts to give
24-hour notice for normal maintenance or sales inspections.
Lessee shall not obstruct common
right of ways and easements shared with other owners and occupants in the
subdivision. Further, vehicles shall not
be parked or driven except on roadways, approaches and driveways. ATV’s/snowmobiles and the like are permitted
only to gain access to and from the premised and not to be driven on other
properties or make loud noises or excess speeds for which a fine does
apply. Please check at the vacation home
you are staying at for rules as a few do not allow ATV’s or snowmobiles to be
driven at all.
Noise and nuisance ordinances do
apply as well, please keep noise to a minimum after 10PM. Enforcement is by the
county sheriff or police department.
Failure to abide may result in forfeiture of your rental.
Hot tubs
The renter assumes all
responsibility for self and guests in the care and use of any hot tub. Adults must remain with children in all hot
tubs, extreme care and caution must be followed. Executive Lodging of the Black Hills is
not responsible for any accidents. Use
at your own risk.
Disclaimer
The Renter agrees that Executive Lodging of the Black Hills shall
not be liable to Renter, Renter’s guests, invitees or any other person for any
injury, loss or damage to any person or property on or about the rental
premises. Renter shall hold Executive Lodging of the Black Hills
harmless and indemnified from and against all loss or damage occasioned by use,
misuses or abuse of any part of or fixture on the premises, surrounding areas
and from or against any omission, neglect, or default of the Renter, his/her
guests or invitees. The Renter acknowledges that Executive Lodging of the Black
Hills acting solely in the capacity of Agent for the property owner,
assumes no liability there under.
Should the owner of any property
elect to remove their property from our rental program, the guest shall not
hold Executive
Lodging of the Black Hills liable. In such an instance, the guest will
be relocated to comparable accommodations determined by the rental agency. If
comparable accommodations are not available, the guest will receive a full
refund
